Face-to-Face Academic Delivery Information for Faculty and Staff

Dear Faculty and Staff,
As you prepare to return to campus after Independent Learning Week, please note the following measures in place to keep everyone Fleming Safe.
All Fleming College campuses officially remain â€śclosed.â€ť Only faculty and staff that directly support face-to-face academic delivery on campus may enter. We will continue to have controlled entry through the designated doors at all sites. Those individuals identified as requiring building access must be pre-approved in advance.
Academic Operations will provide a list of faculty that are required on campus who have face-to-face teaching assigned in the back seven of the semester. This list with the addition of the techs (added by the school) will be shared with Physical Resources for approval. This approval will be for your class time with some time before and after the learning activity for the length of the semester. There is no need to do the Building Access form for this type of activity.
This list will be shared with the One Card office and they will send out information via email on how to obtain a card.
However, if you must access the campus outside of these times, such as for lab set up or business continuity activities, please submit a Building Access Request form.
Fleming Safe App
To enter the campus each day, you must complete a COVID-19 screening, which can be accessed through the Fleming Safe app, available in the App Store for iOS or in the Google Play Store for Android.
After completing your COVID-19 screening, you may check in at the Information Desk or swipe your One Card to enter the building.
Onboarding & Safety Training
Before accessing the campus for either classroom delivery or other reasons, you will be required to complete the Safety training module. This can be found on the Health and Safety COVID-19 portal
In addition to the Return to Campus training, all faculty and techs must read their associated Safe Work Plans and become familiar with the COVID-ready labs and academic spaces for the courses they are supporting. Any questions regarding Safe Work plan or space readiness may be supported by your Chair.
To align with our Fleming Safe protocols, faculty and staff are to avoid lingering on campus when not engaged in Academic delivery. While on campus, you may use your assigned office space for breaks etc, however note that physical distancing and face covering continues to be required in shared office areas. Physical Resources continues to review and modify office spaces as needed to support safe distancing. For those that do not have an assigned office, there will be an opportunity to book a COVID-safe office for your use. More details on this will be available shortly.
To ensure the safety of all in the community and to align to the protocols from Public Health, class attendance for face to face activities must be kept in the Attendance List in D2L. This is a requirement to support our local Public Health units in their contact tracing investigations. In the event of a PH investigation, the Health and Safety department will request a copy of attendance from the Dean, who will alert the faculty to provide the list. If faculty is not able to be reached in satisfactory timeframe, D2L will then be accessed through Molly Westland.
You must wear a facemask inside the building and practice physical distancing and proper hand hygiene, as detailed in signage around campus.
Parking and Food Services
There are currently no parking fees on campus, however, all faculty staff and students are required to update their personal and vehicle information and register for a Temporary Complimentary Permit through our Online Parking System: Security and Parking portal
Please note that Food Services are currently not available on campus. Those that have brought a lunch may eat in the designated eating areas that are available at each campus. These areas have been physically distanced and made safe to permit the removal of face covering while eating. In addition, those with offices may remove face coverings, while seated at the desk in order to eat, provided that physical distancing can be maintained from others. Microwaves and refrigerators continue to be available with appropriate hand hygiene protocols in place.
Teaching & Learning Sub-Group
The Teaching & Learning Sub-Group of the Academic Working Group is seeking new members. The group meets every few weeks to provide feedback from the schools on current needs and potential professional development opportunities for faculty members.
We would like to have representation from as many academic schools as possible, and need representatives from Health & Wellness, Business, Trades & Technology, SENRS, and GAS.

Loaner laptops for students
This is a reminder that Fleming College ITS does not offer a laptop loaner program. We ask that faculty remind their students that they are required to have their own personal computer to attend classes and complete their course assignments. Students in their final semester who have extenuating circumstance may work with their faculty member and Chair to temporarily borrow a laptop. ITS has a limited quantity of laptops, therefore we ask that faculty and Chairs examine each request carefully.
Fleming College will continue to follow all public health guidelines in support of the ongoing effort to reduce the transmission of COVID-19. Please note that guidelines continue to be updated and modified as new information and legislation is released. Please regularly review the H&S COVID-19 portal and the Employee FAQs for ongoing updates.
- Who should complete the COVID-19 Reporting form?
We request that any student or employee that has reason to attend campus or is participating in other face-to-face activities, including clinical or placement work, complete the COVID 19 reporting form when a COVID-related incident occurs. A COVID-related incident includes symptoms, illness, close contact, and isolation requirements. Once the form is submitted, a member from the Health and Safety Department will follow up with guidance and work with local health units, as needed, to ensure a safe return to campus or other activities. In the case of a student, the Chair will be notified of a required absence, so academic support can be made available as needed.
NEW! Book Request Service for Faculty. Requests for physical library material can now be processed. We will pull requests once a week and faculty can pick them up from Security at Frost and Sutherland at your convenience. Details and a quick request form can be found on the Library Faculty pages.

- For Academic Integrity Sanctions, the D2L modules are available. Or, faculty can contact their Library Liaison to arrange a 1:1 Webex appointment for the student
